Informed Provider Management

Note: The Informed Provider Management feature is available to users who are authorized to opt informed providers out of receiving ADT Informed Provider Direct notifications from Provider Portal.

Overview

Informed Provider Management was introduced in version 8.2.1. A page in the Practice Management menu structure is available where administrators can search for and create new informed provider entries and opt these providers out of receiving future ADT Informed Provider Direct notifications.

Client Administrators can manually preload physicians as they join the organization and opt these physicians out of receiving notifications without ever receiving one. Opting them out here prevents scenarios where internal providers receive two notifications when they are also tagged as an informed provider on their patient's ADT event.

Informed Provider Management

From the menu bar, select Practice Mgt, then Manage Informed Providers. The Manage Informed Providers page opens. You can populate any of the elements on the page to search for an informed provider and to determine whether they are currently in the informed provider table. You do not have to add a value to any of these elements to start a search; searching without values displays all informed providers.

You can populate any or all of the following elements to search for a specific informed provider:

Element Name Instructions
Last Name Enter at least the first three letters of the provider's last name.
First Name Enter at least the first letter of the provider's first name.
NPI Enter 10 digits. A link is available that connects to the NPPES NPI Registry.
Direct Address Enter any portion of the informed provider's Direct address.
Username Use this element to enter the name of the Provider Portal user who manually created the informed provider. Enter SYSTEM if an ADT feed created the informed provider.
Create Date Enter the date when the informed provider was created.

Informed providers that the search identifies based on your criteria are displayed in the following manner:

If no providers are displayed, you can add the informed provider in this interface and opt them out of notifications. If a provider is displayed, you can update their Opt Out flag. You can edit and delete all manually-added providers, but you can edit only the Opt Out flag for system-created providers, and you cannot delete them.

Editing an Existing Informed Provider's Notification Status

Complete the following steps to edit an informed provider's Opt Out status:

  1. Search for the informed provider.
  2. Select the Actions button in the provider's row.
    1. If the informed provider was created by the system, select Toggle Opt Out Flag.
    2. If a user created the informed provider, select Edit Informed Provider, then select Opt Out to change the setting.

Adding an Informed Provider

Complete the following steps to add a new informed provider:

  1. Search for the informed provider.
  2. When no providers are displayed, select Create Informed Provider.
  3. Complete the following elements:
    • Last Name
    • First Name
    • NPI (required)
    • Direct Address (required)
    • Opt Out Flag
  4. Select Save.

Manage Informed Provider Batch Load

The Informed Provider Management feature is available to users who are authorized to opt informed providers out of receiving ADT Informed Provider direct notifications.

Overview

Manage Informed Provider Batch Load was added in version 8.2.1. With this feature, you can create new informed providers who are automatically opted out of receiving ADT Informed Provider notifications. The administrator can upload large batches of informed providers for a new practice, all of whom are automatically opted out of these notifications.

Review the following notes about the Manage Users Batch Load feature:

  • In the Managed Informed Provider Batch Load feature, administrators can download a formatted template with the noted required elements to populate for the informed provider opt-out import processes.
  • Each informed provider import batch can support up to 2000 new informed providers.
  • If the imported spreadsheet has any invalid or missing data, the process terminates. The system notifies users of the specific row where the error occurs so they can correct or exclude it from the next import attempt. If you exclude the row instead of correcting invalid data, delete it completely. To do so, select the row, right-click it, and select Delete.

Manage Informed Provider Batch Load Processes

From the menu bar, select Practice Mgt then Manage Informed Providers to open the Informed Provider Management page. The Manage Informed Provider Batch Load button is available on this page.

Select Informed Provider Batch Load to open the Manage Informed Provider Batch Load dialog box.

Download User Batch Load Template

When you select Generate Template, a spreadsheet is automatically downloaded to your device.

The spreadsheet is the template you use to populate new informed providers who you want to opt out of receiving ADT informed provider notifications. The preformatted spreadsheet contains the following columns:

Direct Address Required (must be formatted properly)

Import From Microsoft Excel

When you select Import From Excel, a new dialog box opens. You can then select the completed Informed Provider Batch Load Excel file on your device and select Import. The system prompts you to confirm that you have selected the correct file. You can either cancel the process or select OK to continue.

If the spreadsheet's format is correct, the import process begins. If it is incorrect, an error message is displayed. You can select a different spreadsheet to import and select Import to continue.

If the spreadsheet's format is correct but has invalid data, an error message is displayed that indicates the row where the error occurred and the specific data that caused it. The process then terminates. You can correct the error, reselect the spreadsheet, and import it again.

After the import process completes, a list is downloaded to your device that displays all of the informed providers who were successfully imported.
