Approve Physicians Tab

Use the Approve Physicians feature to review users added as licensed providers and to approve a provider for results routing and orders workflows.

Review the following points about the Approve Physicians feature:

  • The Approve Physicians feature is applicable for clients who have configured their portal for a licensed provider approval workflow.
  • The Approve Physicians feature requires permissions that are available to only authorized users.
  • A role identified as a licensed provider role must be configured by an authorized portal administrator.
  • A licensed provider is a user who was added to a licensed provider role.
  • A provider's National Provider Identifier (NPI) must always be provided for a licensed provider.
  • Using an incorrect NPI can route patient results to an incorrect provider. Always verify the NPI.

View the Approve Physicians Queue

With the Approve Physicians queue, authorized approvers can review new users added as licensed providers and determine whether to associate them with a practice for patient results routing and orders workflows.

  1. Access the Practice Mgt tab and, from the menu, select Approve Physicians.

Filter the Approve Physicians Queue

Filter the Approve Physicians queue to narrow your view of providers.

Approve Physicians Filters Applied

  1. On the Approve Physicians page, select Filters to display the active filters. Note that, by default, the Approve Physicians queue displays providers that have either the NewHold, or In Review statuses, as these providers require approver action.
  2. Select Clear to remove all filters. Note that the system displays the following label on the Filters Applied button when no filters are applied: No Filters Applied.

Approve Physicians Filter Parameters

When you apply filters, the providers that meet your criteria are displayed.

  1. Select Apply to apply filter selections.

The following filter parameters are available in the Approve Physicians queue:

Filter Parameter

Description

 Begin Date

A start date for the request date range you want to view.

 End Date

The end date for the request date range you want to view. When this value is empty, the system uses the current date.

 Practice

A list of practices for which providers are requested. Select a practice to view the requests for a practice.

 Status

The valid statuses include New, Hold, In Review, Dropped, Approved

Select one or more statuses to view only the requests that have the selected statuses.

 Provider

A list of requested providers. Select a provider's name to review it in the Approve Physicians queue.

 

 Requested By

A list of administrators who have added a licensed provider to the Approve Physicians queue. Select a Requested By name to view the providers requested by an administrator.

 Hospital Affiliation

A list of hospital affiliations as provided by requesters. Select a hospital affiliation to review providers by affiliation.

View Provider Details

View the name, degree, NPI, and specialty of a provider.

  1. Select the hyperlinked name of the provider in the Provider column to display provider details.

View Requester Details

View a requestor's name and contact information.

  1. Select the hyperlinked name in the Request Date / By column to view contact information for the administrator who requested the provider.

View Practice Details for a Provider in Hold Status

For clients who do not want a provider to be associated to multiple practices for patient results routing, the Hold status alerts an approver that the provider awaiting approval is associated to another practice.

  1. Select the Hold link.
  2. Review the practice or practicers the provider is currently assigned to.
  3. Determine whether to remove the provider from the existing practice or practices before approving or denying the provider in the Approve Physicians queue.

Remove a Provider in Hold Status From a Practice

Remove a provider from a practice if it is inappropriate for a provider to be associated with the practice for patient results routing.

  1. Select the Hold link.
  2. On the Multiple Practice Memberships page, review the practice or practices the provider is already associated with.
  3. To remove the provider from a practice or practices, select the practice's check box.
  4. Select Remove Selected to remove the provider from the selected practices. Note that the removal stops patient results routing for the selected provider and practices. It does not deactivate the provider's user account for that practice.
  5. Select Cancel to exit the Multiple Practice Membership page and return to the Approve Physicians queue.

Update a Provider Status to In Review

Update a provider to the In Review status when the review is in progress. Note that updating a provider to In Review stops notifications about the new provider request.

  1. Select the Actions menu for the provider you want to update.
  2. Select the In Review menu option.
  3. Enter your comments to update the progress according to your organization's standards.
  4. Select Save to update the status of the provider.
  5. Select Cancel to exit without saving and return to the Approve Physicians page.

Deny a Provider

Deny a provider when the provider has been reviewed without assigning them to the requested practice for patient results routing and orders workflows. Note that when a provider is denied, the provider status is changed to Dropped in the Approve Physicians queue. No patient results routing occurs. Denying a provider does not deactivate the provider's user account for that practice.

  1. Select the Actions menu for the provider you want to update.
  2. Select Deny.
  3. Enter the required comments to provide a reason for denying the provider, according to your organization's standards.
  4. Select Save to update the provider's status.
  5. Select Cancel to exit without saving and return to the Approve Physicians page.

Approve a Provider

Approve a provider to associate them to the requested practice for patient results routing and orders workflows. Note that once a provider is approved, no further actions are possible for that record in the Approve Physicians queue.

  1. Select the Actions menu for the provider you want to update.
  2. Select Approve.
  3. Enter comments regarding the approval, according to your organization's standards.
  4. Select Save to update the provider's status.
  5. Select Cancel to exit without saving and return to the Approve Physicians page.

View the Licensed Provider Approval Report

With the A-Licensed Provider Approval report, administrators can review the status of providers associated with their practice.

  1. Access the Reports tab.
  2. Select the A-Licensed Provider Approval report.
  3. Enter filter values to narrow your view of providers.

  4. Select Search to review providers associated with your group or child groups that match your filter criteria.
